01 Mapping your operation

A step-by-step map of the process, with cycle times, bottlenecks and decision points, written down. It is where the rules and the judgment calls that get automated later come from.

02 Getting your data ready

Normalization, deduplication and structuring of scattered information, with consistent metadata and chunking built for retrieval: AI-ready data. It sets the ceiling on whatever gets built on top of it.

03 Process automation

Event-driven flows on top of what you already run: WhatsApp, email, spreadsheets, your current system. The design rule is the least complexity that solves the case reliably, so a model goes in where it earns its place and not by default.

04 OCR, vision models and RAG

Field extraction with OCR, which reads printed text automatically, and with vision models for what OCR cannot reach, such as a handwritten invoice. Then indexing in a vector database and semantic search across your own archive: that is what people call RAG, and it means the answer is assembled from your documents rather than from whatever the model happens to remember. Every answer cites the document and the passage it came from, which is what sets it apart from a chatbot.

05 Custom AI agents

Agents whose judgment is written down before anything gets built, with hard limits on anything irreversible and human approval on the expensive calls. They are evaluated against a set of real cases, including the ones that fail, before they go into production, and every decision is logged.

06 Monitoring

Telemetry on what is running, declared thresholds and alerts to the channel you actually read. It covers silent degradation: a process that keeps executing but stopped producing the right result throws no error, which is exactly why it has to be measured.

Your case decides where your information lives and where it gets processed, not our convenience: it can run on a server of yours or on your own machines, with local models when privacy calls for it. Personal data is masked before it leaves your systems, not after.

Questions

Doesn't ChatGPT already do this?

Some of it, yes. The difference is what sets it off. ChatGPT waits for someone to open the window, paste the text and copy the result to wherever it belongs: that is still a person's work, and it falls apart the day that person is busy. What we build fires on the event, when the receipt comes in or when the meeting ends, it runs on your documents and your rules, and it leaves a record of what it did. If your case is solved by a subscription and two disciplined people, we will tell you so.

How much does it cost?

It depends on scope, and scope comes out of the mapping. What is worth knowing up front is that a system with a model carries a monthly running cost: every call burns tokens and the server it runs on costs money too. That can sit in your name and under your control, or run with us, and it gets settled with you before anything is built. What we do not do is leave it undeclared so you find out two months in. The 30-minute call is free.

Does it work with what I already use?

Yes, and that is the point: we build on your tools instead of asking you to switch. WhatsApp, email, spreadsheets and back-office systems are the usual entry points. What the mapping checks is whether your system lets data in and out programmatically; when it does not there are other routes, and when none of them work we tell you before quoting.

What if I want to take it in-house one day, or move to another provider?

What we build for you is yours from the start, not at the end: code, documentation and training are yours, and it runs on your infrastructure. On that part there is no proprietary piece only we can operate and no contract that locks you in. If some of the work leans on a platform of ours, we tell you which one before we build, so you know from day one what ends up yours and what does not. If your own team or another provider picks it up tomorrow, what they get is a documented system and not a black box. What is worth being clear about is that someone will have to maintain it, and that gets worked out with you before anything is built.

Will this cost someone on my team their job?

What gets automated is tasks, not positions, and who fills the time that frees up is your call. The first thing to go is usually data entry, which is the part nobody defends. We ask the people doing the work before we touch it, because they are the ones who know the odd cases no slide deck accounts for.

Can I start small?

Yes, and that is what we recommend. We start with the smallest piece that is already useful on its own, so you see something running before you commit to the rest. Each stage goes in separately and, if something breaks, it rolls back to the previous point without stopping your operation.

Do you only work in Tijuana?

We work out of Tijuana and cover Baja California, on site where the case calls for it and remote where there is no need to be there. Mapping is the part that gains the most from being present, because you see the operation where it happens; the rest runs just as well at a distance.
